Getting Started: Adding Employees in Administration Console
This guide will help you to add and create users within your organization’s Admin Console. You can add users individually or all at once by using the “Bulk Upload” feature and a CSV (comma-separated values) file. Step-by-step instructions for both ways can be found below.
Note: Some features in this guide may not appear exactly as shown - and in some cases may be deactivated - due to the elements and settings for your particular account.
Adding Employees in the Administration Console
Before adding Employees to the system, it is highly recommended that you review the list of steps needed to set up your account on the Getting Started page. Adding Employees should be one of the last steps in the setup process. This ensures that when your employees download the app, the settings, health questionnaire, and assets are already in place.
Administrators can add employees either one at a time or via a bulk upload with a CSV file within the Tenant Admin Console.
In order to add employees you must have the following employee information:
The first and last name of the employee.
The permission level that will be assigned to the employee (regular employee or Checker)
Their email address
Note: Once the employee account is successfully created, a welcome email with the app login details will be sent to the employee.
Method One: Adding a New User
Log into your account on the Tenant Admin Console.
In the left navigation pane, select People.
In the top right corner, select NEW USER.
The form displays the following fields. All the fields are mandatory.
User Role - The roles available are: Administrator, Health Admin, Health Checker, Member, and Proctor.
Email - A valid email ID is to be entered.
First Name - Minimum two alphabets are required.
Last Name - Minimum two alphabets are required.
If a user exists in the system, it will inform that the “user already created” and block the creation of a duplicate user.
Method Two: Adding Multiple Users through Bulk Upload
Administrators are able to upload a CSV file to do a bulk upload of users. The required information is the same as above:
The first and last names of the employees.
The permission level(s) that will be assigned to the employee (regular employee or Checker)
Their email addresses
A CSV template is available in the administrative section to ensure that the users are formatted correctly when uploading.
Log into your account on the Tenant Admin Console.
In the left navigation pane, select People.
In the top right corner, you will select Import User.
NOTE: In the CSV file, there are “required” and “optional” fields. Please make sure that each Employee has the “required” fields filled in at a minimum. The employee can update the optional fields later via the app downloaded to their device.
Make sure to save the file as a “.csv” file for proper import (do not save it as a .xls file or some other format type).You can browse for the CSV file either with the BROWSE button, or you can drag the CSV file into your browser to upload.
You will see the uploaded CSV file, ready to import in the lower-left under Selected Files.
Click Submit in the bottom right corner.
Note: The system will process and check the employee information as they are imported. This may take some time depending on how many employees you are importing. There is a page that will show progress during the import process.
If the system catches any errors, you will be notified on the page at the bottom: “Please fix the error shown and then re-import a new CSV file.” If you prefer to perform other tasks, you can navigate away from this page and check in on the progress via the Notifications bell in the upper right side of the page.
Congratulations! Your employee records have been successfully imported.
These users will receive a welcome email with URL, login, and password credentials.
